  • Administrative Services Manager

    PURPOSE OF POSITION – The Administrative Services Manager of NeighborWorks® Home Solutions will ensure that the necessary capabilities and resources are available to support and assist in the implementation of the organization’s housing programs, policies and projects.
     
    CANDIDATE’S COMMITMENTS TO ACHIEVE – The Administrative Services Manager is responsible for general office functions including computer processing, document management, screening phone calls and assist callers; edit and proof documents, brochures and any written material; maintain and organize filing systems. The Administrative Services Manager provides support directly to the CEO and team members.
     
    RESPONSIBILITIES / CHARACTERISTIC DUTIES – Listed are the various traits, skills and responsibilities the candidate would need to succeed:

     

    • Coordinate office functions: greet all guests, answer phones and emails, manage office supplies, and receive, sort, and distribute mail.
    • Create new application files as needed.
    • Develop marketing and promotional materials for housing programs.
    • Provide information and assistance to those inquiring about housing programs and educational services.
    • Set up and conduct initial interviews with potential applicants for housing-related programs.
    • Create and maintain housing program project files (electronic/manual).Manage and oversee input and reporting of client data.
    • Develop marketing and promotional materials, including but not limited to the organization’s website and program brochures.
    • Administer surveys as needed for outreach, reporting and educational purposes.
    • Assist the Chief Executive Officer in preparation of monthly Board/Committee meetings; including send updates and reminders for recurring meeting, record attendance, and, prepare, coordinate, and take minutes of Board and Committee meetings.
    • Coordinate and perform various office-related duties, including but not limited to invoices, billing, deposits, upload all related documentation to NWHS’ accountants.
    • Attend workshops and conferences as required.
    • Other duties as assigned.
     
    PREFERRED INTERESTS / QUALIFICATIONS 
    The Administrative Services Manager position will frequently involve working with and communicating with NeighborWorks® Home Solutions clientele and stakeholders. This position often involves helping or providing service to others. Listed below are some of the preferred interests / qualifications:


     
    • Proficient with Microsoft Office suite of products, such as Word, Excel, PowerPoint, Publisher and Outlook.
    • Associates degree in Business Administration or equivalent and one (1) or more years of professional accomplishment.
    • Ability to establish and maintain effective working relationships with co-workers and all personnel.
    • Ability to meet multiple deadlines and organize large volumes of data.
    • Ability to express ideas clearly, orally and in writing.
    • Ability to prioritize and multi-task; detail-oriented and professional.
    • Ability to work effectively, efficiently and independently – with minimal supervision.
    • Maintain a high degree of confidentiality with sensitive information on all aspects of the organization.
    Physical Requirements: 
    • Prolonged periods sitting at a desk and working on a computer.
    • Must be able to lift up to 15 pounds at times.
     
    SUPERVISION – The Administrative Services Manager will work under the supervision and direction of the Chief Executive Officer and be expected to complete assignments independently or with minimal supervision.

    ADDITIONAL INFORMATION
    Our compensation package includes: 12 paid holidays, including the week off between Christmas Eve and New Year's Day; vacation and sick leave; and paid health insurance for the employee.     Hours: 8-4:30, Monday-Thursday and 8-2:30 Friday; some flexibility with schedule provided.

    Salary: The salary range is $35,000 to $42,500 based on experience.
